What is the status of EAA 2020 Annual Meeting during Covid-19 situation?

EAA and AM local organisers are closely monitoring the situation and issue regular statements. For now, all AM deadlines (incl. early bird conference fee) are extended until further notice.

My account has been locked out - what to do? 

You have used incorrect password too many times - please email us at helpdesk@e-a-a.org and we will unlock your account. 

How do I get an invoice for membership / conference registration?

The invoice for the Annual Meeting registration fee is available in your EAA membership profile (upon logging in at www.e-a-a.org, please go to Membership - My EAA Membership - My invoicing history tab). If you require an invoice for your EAA membership payment or need assistance in another matter, please contact us at helpdesk@e-a-a.org.

Can I get one invoice for both membership and Annual Meeting registration fee?

Although you can pay both fees at once, we always issue separate invoices for membership and AM registration fee. The reason is that the invoice for the conference registration is issued on behalf of the local organiser.

How can I change billing details in my invoice?

If you need any changes in your invoice (typically billing address), please contact us via helpdesk@e-a-a.org and we will correct the invoice for you. Please note that changes can only be made by 30 September 2020. 

I have chosen the "pay later" option in the cart, can I still pay by card?

Yes, you can find your unsettled dues in your EAA profile at www.e-a-a.org (under Membership -> My EAA Membership) go to tab Pending billing, tick the box next to the invoice for membership and/or conference registration -> "add to cart" button will be activated, you can then proceed to the cart and the payment.

Is it possible to transfer EAA membership or Annual Meeting registration to someone else?

No, it is not possible to transfer EAA membership. If you know that you are not able to attend the meeting, please notify helpdesk@e-a-a.org as soon as possible. The replacement is not possible but we may help you with the process of registering your colleague. The AM registration fee is refundable before 22 April, with handling fee before 10 July 2020. After this date it is not possible to refund the fees. EAA Secretariat has to be informed by email at helpdesk@e-a-a.org

What are the bank details which I should use for payment of membership and Annual Meeting registration fees?

Please note that before effectuating the payment, you always need to create a purchase order first via the online form available at www.e-a-a.org/eaa2020/registration
For the bank transfer, always indicate your full name, EAA ID and preferably purpose of the payment (e.g. membership / AM registration / invoice number)

How do I get my EAA ID?

In case you are current EAA member or were member in the past, you may find your EAA ID in your profile - sign in at www.e-a-a.org and continue to Membership > My EAA Membership. For assistance with your credentials, please contact helpdesk@e-a-a.org. In case you have never been EAA member, please create new account here. You will receive your EAA ID just after filling the registration form.  

Do I have to be EAA member to be able to attend the EAA Annual Meeting?

Yes, all participants of EAA Annual Meetings have to be EAA members (pay for 2020 membership) and also have to pay Annual Meeting registration fee. The payment can be done when you know that your session / contribution has been accepted by the Scientific Committee. Check registration policy for more details about prices and cancellations.

1111 EURO for conference registration??!!

1111 Euro is an error price. You need to order EAA membership first (place it to the cart) and just after that fill the conference registration.
Both can be done via www.e-a-a.org/eaa2020/registration but first you need to proceed with membership renewal (there is a red box with a link on the top of that page), after that the correct price should be counted for you. You can check the prices here: www.e-a-a.org/eaa2020/registrationpolicy

Why is session submission (end September - early November) / call for papers (mid December - mid February) so early? 

EAA Annual Meetings usually have between 150 - 250 paralel sessions, and 2000 - 3500 contributions. Both sessions and contributions are evaluated by the Scientific Committee, contributions are also evaluated by session organisers.
The creation of the scientific programme is very complex and before building it we also need main authors to have their fees settled (deadline 22 April) which require some time to collect. Just after we know who is really participating at the Meeting we can announce the preliminary / final version of AM schedule.

How do I submit my session / contribution proposal?

Why do session organisers need to settle their fees so early?

At least two session organisers from different countries need to settle both EAA membership and AM registration fees before mid December 2019 to have their session open for Call for papers. We have to be sure that the session will take place. The list of sessions (and session organisers) will be finalized before 3 February 2020. 

I am session organiser, how do I know if my session has received any contributions' submissions?

Main session organisers can see proposals submitted for their session in their profile after signing in at submissions.e-a-a.org/eaa2020 just below the session title. The review will be possible just after the Call for papers ends but you can already read the proposals now and contact authors if you require any changes.

I am session organiser, do I need to submit introduction to my session? 

When session organisers determine the order of contributions, there is also a possibility to add 15 minutes introduction (without formal title and abstract). If you wish to have a proper title and absatract in the Abstract Book you can also submit a contribution instead.
