Scientific Contributions

General info

The EAA Conference welcomes two main types of contributions: papers (oral presentations) and posters. Both formats offer participants a chance to share their research and insights with the community.

  1. Papers: These are 15-minute oral presentations designed for structured and engaging sharing of research findings. To submit a paper, select a specific session in the EAA submissions portal that aligns with your topic. For more details, see our Guidelines.
  2. Posters: Presented as e-posters in a digital format, they provide a visually rich way to showcase research. E-posters will be accessible through the conference’s mobile app and web platform.

Evaluation

Contributions go through a two-stage evaluation:

  1. Session Organisers: First, the organisers of the session to which your paper or poster was submitted will review it.
  2. Belgrade Scientific Committee: Next, the committee conducts its review.

Results Notification

All main (first) authors should have received the evaluation results by 4 April via email (This deadline has been extended, and we apologize for the delay in sending the notification, which was caused by the recent decision to hold the 31st EAA Annual Meeting as a fully virtual event). Payment requirements

To ensure inclusion in the EAA 2025 programme, all first authors of contributions—both papers and posters—are kindly required to complete two payments: the EAA 2025 membership fee and the EAA 2025 conference fee. Please note that both fees must be settled by 26 May 2025. The same payment deadline applies to session speakers: invited speakers, discussants and keynote speakers.

If payment is not received by this deadline, we will have to remove the contribution from the scientific programme.

Co-authors are only required to settle the two payments if they are planning to attend the Annual Meeting (online or onsite in person). The 5 May payment deadline does not apply to co-authors.

E-poster specifications

File Format & Size

  • Submit your e-poster as a single-page PDF.
  • Maximum file size: 10 MB.
  • Save the file using the following format: posterID_surname-of-first-author.pdf,examples: 35_Karabas.pdf, 105_Smith.pdf, 89_Nowakowski.pdf

Orientation & Dimensions

  • Preferred orientation: Portrait (vertical) — ideal for viewing on both desktops and mobile devices.
  • Recommended dimensions:
    • Width: 1080 pixels (28.58 cm / 11.25 in)
    • Height: 1920 pixels (50.8 cm / 20 in)
    • This is a standard vertical HD (1080x1920) screen ratio, well-suited for digital platforms and mobile apps.
  • How to set this up in PowerPoint:
    1. Go to Design > Slide Size > Custom Slide Size.
    2. Set the orientation to Portrait.
    3. Set the Width to 28.58 cm and Height to 50.8 cm.
    4. Click OK and confirm the layout change.
    5. Save as PDF: Go to File > Export > Create PDF/XPS Document or Save As > choose PDF format.
    6. Ensure the file size remains under 10 MB.

Design & Content

  • Ensure the poster is in English.
  • Include the title, authors, and affiliations prominently at the top.
  • Use clear headings and organise content logically.
  • Incorporate high-resolution images, graphs, and tables as needed.

Accessibility & Readability

  • Use sans-serif fonts (e.g., Arial, Calibri) for clarity.
  • Maintain a minimum font size of 24 pt for body text.
  • Use contrasting colors to enhance readability.

E-Poster Upload

  • The deadline for uploading your e-poster to the EAA 2025 submission system is 8 July.
  • The upload system is not yet available, but we will notify authors as soon as it is launched. At that time, we will also provide detailed instructions on how to upload your e-poster.

Call for Contributions

The EAA 2025 Call for Contributions (both papers and posters) was open between 20 Dec and 10 Feb 2025.

    Submission process:
  • All submissions must be made through the EAA submissions portal: https://submissions.e-a-a.org/eaa2025.
  • Papers and posters must be submitted separately, with the chosen format specified during submission.
  • Both types of contributions are submitted to Annual Meeting sessions.
    Submission guidelines:
  • Abstract text: Between 150-300 words.
  • Title: Max. 20 words.
  • Affiliations: Maximum 1000 characters. Use only the main name of your institution or company (avoid titles, positions, addresses, or country names).     
    EAA IDs:
  • If your co-authors are EAA Members, please include their EAA IDs in your submission.

The EAA may restrict expression that violates the law, that defames a specific individual or group of individuals, that constitutes a genuine threat or harassment, that unjustifiably invades substantial privacy or confidentiality interests, or that violates the EAA Code of Conduct and Principles.
