European Archaeology Fair


“La Sapienza” is one of the oldest Italian universities and actually one of the largest in-presence universities in Europe. The main venue of the Meeting will be in its large campus, just a few steps away from Termini central station and Policlinico Underground station.

The Campus is a unique facility within Italian universities, renowned for its spaciousness and interconnected faculties. Its architecture features alternating white travertine facades and brick walls, complemented by the shade of trees, including centuries-old pine trees lining the main avenue. At its terminus stands Arturo Martini‘s Minerva statue, symbolizing wisdom, warmly welcoming visitors. With its diverse architectural styles and vibrant atmosphere, the Campus provides an ideal setting for a complex and interconnected conference like our 30th EAA Annual Meeting.

The European Archaeological Fair (EAF) will be held on the first floor of the Philosophy and Letters Building. The exhibition space will serve as a central hub for the conference and will include various Annual Meeting facilities, such as the registration desk, helpdesk, cloakroom, catering area and it will also host some of the sessions.

Stand types and prices

Type 1 - Basic stand

Space: 2 × 2 m
Price: 1100 EUR excl. VAT
The stand belongs to one exhibitor, registration of two onsite representatives is included in the price.

Type 2 - Shared stand space

Space: 2 × 2 m
Price: 1100 EUR excl. VAT
The stand is used by max. two different exhibitors simultaneously. Please contact us for more details.

Type 3 - Shared stand time

Space: 2 × 2 m
Price: 1300 EUR excl. VAT
The stand is used by max. two different exhibitors on different days. Please contact us for more details.

Type 4 - Unmanned stand

Space: 2 × 2 m
Price: 1300 EUR excl. VAT
You send your merchandise and we will prepare the stand for you. A volunteer will take care of your stand during the opening hours of the Fair. Please contact us for more details.

What we offer within the stand price

All stand types include registration for two persons (registration of an additional person must be requested in the order form and paid for), and the following:

  • Admission to the academic programme at the Annual Meeting
  • Admission to the Opening Ceremony and Welcome Reception
  • Admission to the Annual Party
  • One delegates‘ bag per person
  • Coffee breaks
  • Listing in the directory of exhibitors on the Annual Meeting website ( and in the Programme Summary
  • Logo and brief company description in the Programme Summary and the Programme Book
  • Logo and brief description in the mobile app / online event software, or virtual stand - as relevant
  • Company name label on the stand
  • One table (120 x 60 cm) with cover, 2 chairs
  • Coat hanger
  • Walls to hang posters
  • Free wireless internet at the EAF area
  • Power supply with power strip (Please note: In Italy, the standard voltage is 230 V and the frequency is 50 Hz. The power plugs and sockets used are Type C, F and L.)
  • Receiving material on 21-27 August, stored until 2 September
  • Lockable room for overnight storage on request

  • Set composed by high table and 2 bar stools - 290 EUR excl. VAT
  • Bar stool - 80 EUR excl. VAT
  • Crystal showcase with shelf (90 cm x 175 cm in height) - 280 EUR excl. VAT
  • Additional chair - 15 EUR excl. VAT

Stand booking

Please make your reservation by filling in the online booking at as soon as possible, as the number of stands we can offer is limited. We will confirm your booking and prepare an invoice which needs to be settled by 31 May 2024 at the latest. The payment can only be made by bank transfer.

All prices are in EUR and without VAT.

Logo or company name with a link will be included at the Annual Meeting website after the payment is received. Thereafter, we will liaise with you about other materials (short company description, confirmed representatives, etc.) in order to increase your visibility at the Annual Meeting; the deadline for providing these materials is 30 June 2024.


All cancellations must be made in writing to Cancellations made by 15 June will be subject to 50 EUR cancellation fee. Cancellations made by 10 July will be subject to a cancellation fee of 50% of the product price. We are unable to issue refunds after 10 July 2024 but we may offer online presence instead.

In case the event has to be transformed into a virtual format due e.g. to the Covid-19 pandemic, the exhibitors will be offered online presence at the virtual Annual Meeting and at least 50% of the stand price will be refunded or used towards online advertisements. Sponsors and advertisers with ordered onsite advertisements will be contacted individually.
