How do I present/attend online?

Please use the EAA 2024 web platform integrated with Zoom. For detailed instructions, watch the instructional video here or on the home page of the web platform.

Before your presentation, we recommend that you test screen-sharing in a dedicated test room on the web platform, which will be available from Monday 26 August to Saturday 31 August (to be found under Scientific Programme).

We also recommend that online speakers consider pre-recording their presentations as an added precaution against unexpected technical issues. If they choose to do so, we kindly ask these videos be sent directly to the session organisers.

How do I log into the EAA 2024 mobile app/web platform?

Login details were sent to the majority of all registered delegates by email on 21 / 22 August (subject: "EAA 2024 mobile app & web platform login details”). If you register after that date, you will receive your login details within an hour of registering.

If you haven’t received the app/web platform login details or they do not work, please follow the steps below:

  1. Check your spam or junk folder.
  2. Try logging into the app or platform using the email associated with your EAA membership, and use the "Forgotten Password" option.
  3. If the credentials you received do not work, please make sure that you are inserting the login and password without any extra space characters (especially when using copy - paste). If you received multiple emails, please use the login credentials from the most recent one.
  4. If you still encounter issues, please contact us at helpdesk@e-a-a.org.
  5. If you have already emailed us and we have not responded, we sincerely apologise; we're a small team managing a very high volume of inquiries, but we'll get back to you as soon as possible. Thank you for your patience and understanding.

I need help with the mobile app/web platform.

How do I access free internet at the main conference venue?

Use the login credentials sent to you by email titled “EAA 2024 wifi login details” (first of emails batch sent on 22 August, second batch, for those registred later, to be sent on 27 / 28 August). If you are registering onsite, please ask about wifi credentials at the registration desk.

Please note these credentials are valid only from August 26, 2024, to August 31, 2024. If you experience any issues, please contact assistenza-wifi@uniroma1.it. 

I can see 1111 EUR price when registering for the conference

You need to select your membership type first (e.g. in your profile at www.e-a-a.org under Membership > My EAA Membership) and just after that proceed to conference registration - the price is counted according to the membership type that is why you see the error price. If you have anything in the cart right now, please remove it first.

If you have just paid for your membership fee and you still see 1111 EUR price, please remove the registration from your cart and try again in a few hours or the following day.

You can also try using a different web browser if the other solutions do not work.

My account has been locked out - what to do? 

You have used incorrect password too many times - please email us at helpdesk@e-a-a.org and we will unlock your account. 

How do I get my EAA ID?

In case you are current EAA member or were member in the past, you may find your EAA ID in your profile - sign in at www.e-a-a.org and continue to Membership > My EAA Membership. For assistance with your credentials, please contact helpdesk@e-a-a.org. In case you have never been EAA member, please create new account here. You will receive your EAA ID just after filling the registration form.  

Do I have to be EAA member to be able to attend the EAA Annual Meeting?

Yes, all participants of EAA Annual Meetings have to be EAA members (pay for 2024 membership) and also have to pay Annual Meeting (conference) registration fee. The payment can be done when you know that your session / contribution has been accepted by the Scientific Committee. Check registration policy and deadlines for more details about prices and cancellations.

How can I change billing details in my invoice?

If you need any changes in your invoice (typically billing address), please contact us via helpdesk@e-a-a.org and we will correct the invoice for you. Please note that changes can only be made by 30 September 2024. 

Why is session submission (end September - early November) / call for papers (mid December - mid February) so early? 

EAA Annual Meetings usually have between 150 - 250 paralel sessions, and 2000 - 3500 contributions. Both sessions and contributions are evaluated by the Scientific Committee, contributions are also evaluated by session organisers.
The creation of the scientific programme is very complex and before building it we also need main authors to have their fees settled (deadline 25 April) which require some time to collect. Just after we know who is really participating at the Meeting we can announce the preliminary / final version of the AM schedule.

I need to cancel my presentation, what should I do?

First, please notify the organisers of the session you were to present in. Contact details can be found at https://submissions.e-a-a.org/eaa2024/sessions/overview/. Next, please let us know at helpdesk@e-a-a.org (please note we may not be able to reply immediately between 26 and 31 August).

Can I attend the conference remotely (online)?

The Annual Meeting is planned as a hybrid event, allowing both onsite and online participation. All sessions will be hybrid. You can change your attendance type from onsite to online at any time before or during the conference.

How can I change from onsite to online participation?

To change your participation type, please log in at EAA 2024 | Registration and adjust your response to the question regarding attendance to indicate online participation. Additionally, if you are a paper author, we kindly request that you inform the organisers of your session that your presentation will be given remotely. Session organiser contact details can be found at https://submissions.e-a-a.org/eaa2024/sessions/overview/. No further action is required.

I’m onsite in Rome and need assistance, what shall I do?

For technical issues (e.g. with onsite equipment), please seek assistance from someone wearing a volunteer, IT support, or organiser badge. For non-technical issues, please address someone wearing a volunteer or organiser badge or come visit us at the registration desk and the EAA helpdesk.

Where can I find the conference programme and other details?

Presentation times, session rooms, abstracts, social event information, maps, and other conference details are available via the EAA 2024 mobile app and web platform and on this website. This information is also in the online Programme Book, Abstract Book, and printed Programme Summaries, which onsite delegates will receive at registration.

I have witnessesed or been a victim of discrimination, harassment, or bullying.

Is it possible to transfer EAA membership or Annual Meeting registration to someone else?

No, it is not possible to transfer EAA membership. If you know that you are not able to attend the meeting, please notify helpdesk@e-a-a.org as soon as possible. The replacement is not possible but we may help you with the process of registering your colleague. The AM registration fee is refundable before 25 April, with handling fee before 11 July 2024. After this date it is not possible to refund the fees. In case of any changes / cancellations, EAA Secretariat has to be informed by email at helpdesk@e-a-a.org.

How do I get an invoice for membership / conference registration?

The invoice for the Annual Meeting registration fee is available in your EAA membership profile (upon logging in at www.e-a-a.org, please go to Membership - My EAA Membership - My invoicing history tab). If you require an invoice for your EAA membership payment or need assistance in another matter, please contact us at helpdesk@e-a-a.org.

I have chosen the "pay later" option in the cart, can I still pay by card?

Yes, you can find your unsettled dues in your EAA profile at www.e-a-a.org (under Membership -> My EAA Membership) go to tab Pending billing, tick the box next to the invoice for membership and/or conference registration -> "add to cart" button will be activated, you can then proceed to the cart and the payment.

Why is the session greyed out in the list of accepted sessions?

At least two session organisers from two countries need to settle both 202č Membership and conference registration fee in order to open the session for Call for papers. In some cases the payment cannot be done before the deadline (18 December). If the session is not open by 29 January, it will be cancelled completely, by then session organisers still have the opportunity to settle the fees. The update of the list is manual but takes place on regular basis.

How many contributions can one person present?

For the 30th Annual Meeting in Rome, one person can submit one paper (oral presentation) and one poster as the first - main author.  Please read more here.

One person can be co-author of other contributions (without a limit) – but please note that in this case we cannot ensure that the contributions are not scheduled simultaneously.

I work in a different country than I am originally from. How does it work with EAA membership?

EAA membership is based on the place where you work, study or reside, rather than your nationality. This is important for session organisers who need to be from at least two different countries.
