Frequently asked questions (FAQ)

please contact EAA Secretariat at helpdesk@e-a-a.org if you need any further information and/or assistance.

How do I get my EAA ID?

In case you are current EAA member or were member in the past, you may find your EAA ID in your profile - sign in at www.e-a-a.org and continue to Membership > My EAA Membership. For assistance with your credentials, please contact helpdesk@e-a-a.org. In case you have never been EAA member, please create new account here. You will receive your EAA ID just after filling the registration form.

Do I have to be EAA member to be able to attend the EAA Annual Meeting?

Yes, all participants of EAA Annual Meetings have to be EAA members (pay for 2021 membership) and also have to pay Annual Meeting registration fee. The payment can be done when you know that your session / contribution has been accepted by the Scientific Committee. Check registration policy for more details about prices and cancellations.

My account has been locked out - what to do?

You have used incorrect password too many times - please email us at helpdesk@e-a-a.org and we will unlock your account.

How do I get an invoice for membership / conference registration?

The invoice for the Annual Meeting registration fee is available in your EAA membership profile (upon logging in at www.e-a-a.org, please go to Membership - My EAA Membership - My invoicing history tab). If you require an invoice for your EAA membership payment or need assistance in another matter, please contact us at helpdesk@e-a-a.org.

Can I get one invoice for both membership and Annual Meeting registration fee?

Although you can pay both fees at once, we always issue separate invoices for membership and AM registration fee. The reason is that the invoice for the conference registration is issued on behalf of the local organiser.

How can I change billing details in my invoice?

If you need any changes in your invoice (typically billing address), please contact us via helpdesk@e-a-a.org and we will correct the invoice for you. Please note that changes can only be made by 30 September 2021.

I have chosen the "pay later" option in the cart, can I still pay by card?

Yes, you can find your unsettled dues in your EAA profile at www.e-a-a.org (under Membership -> My EAA Membership) go to tab Pending billing, tick the box next to the invoice for membership and/or conference registration -> "add to cart" button will be activated, you can then proceed to the cart and the payment.

Is it possible to transfer EAA membership or Annual Meeting registration to someone else?

No, it is not possible to transfer EAA membership. If you know that you are not able to attend the meeting, please notify helpdesk@e-a-a.org as soon as possible. The replacement is not possible but we may help you with the process of registering your colleague. The AM registration fee is refundable before 22 April, with handling fee before 6 July 2021. After this date it is not possible to refund the fees. In case of any changes / cancellations, EAA Secretariat has to be informed by email at helpdesk@e-a-a.org

What is the format of Kiel Annual Meeting?

The Kiel AM is conceived as a VIRTUAL event; the complete academic programme will be available online.

What are the new registration fees for the virtual Kiel AM?

The registration has re-opened and you can check new registration fees here.

I have already paid the registration fee, when will I receive the difference?

Refunds of the difference on registration fees already paid will be made to the registered participants between 23 April and 31 May in the same way as the original payment was made (credit card or bank transfer). If your bank details have changed, please let us know by 22 April at helpdesk@e-a-a.org. If you wish to donate all or part of the difference to the Oscar Montelius Foundation (OMF), please let us know at helpdesk@e-a-a.org, indicating your wish and the amount by 22 April. Such generosity will enable the OMF to offer travel grants to future Annual Meeting participants.

I do not want to attend virtual Annual Meeting - who should I inform?

In case you wish to cancel your session / contribution please email EAA Secretariat at helpdesk@e-a-a.org. Please mention in the email whether you also want to cancel the AM registration - the full refund of AM registration fee is possible if we are informed by 22 April.
Please note that EAA membership fee is not refundable.

I am main session organiser, can I see contributions submitted to my session?

Yes, please log in at submissions.e-a-a.org/eaa2021 - the contributions submitted to your session are listed below the session title. You can share the pdfs with your co-organisers. The evaluation will be open after the Call for papers ends. You can already contact authors in case you require any changes in the proposals, as they can still make amendements during the CfP.

Why is session submission (end September - early November) / call for papers (mid December - mid February) so early?

EAA Annual Meetings usually have between 150 - 250 paralel sessions, and 2000 - 3500 contributions. Both sessions and contributions are evaluated by the Scientific Committee, contributions are also evaluated by session organisers.
The creation of the scientific programme is very complex and before building it we also need main authors to have their fees settled (deadline 22 April) which require some time to collect. Just after we know who is really participating at the Meeting we can announce the preliminary / final version of AM schedule.

I have been informed by session organisers that my contribution is accepted subject to changes, what shall I do?

Please go to submission page, sign in and click on the abstract title > edit as necessary > submit again. You should receive new confirmation email. Please note that you can do this only once, after that the abstract will be again locked until reviewed by session organisers again.

My session accepted for Budapest 2020 Annual Meeting was cancelled / postponed, do I need to submit it again for 2021?

Yes, there is a new session submission for 2021 Annual Meeting, also because the Scientific Committee is a different one. Please do submit your session before the deadline. We cannot automatically submit the session proposal for you.
